Microsoft 365 Tenant Backup

Adding the M365 tenant to your organization

Sign into the backup dashboard through the Winhost Control Panel by clicking the "Backup" link, then either the EmailBackup or M365Backup link, depending on which service is being used.
Once at the backup dashboard, you can click the “Add Backup” button. If you already have backups running, you will see the option to "Add From Existing" with the already added tenants listed. You will also see the option to add new tenants.
For Microsoft 365, click the “Sign in with Microsoft 365” option. Once you click this button, you will be presented with the choice to Authorize with Global Admin or Service Principal.
For this article, we will use the Global Admin option.
After clicking the Authorize with Global Admin, it will take you to sign in to your Microsoft 365 tenant. Please note that you will need to sign in with an admin account for the tenant to grant the backup service the necessary permissions to create the backup admin account.
If you have not already set up MFA on the tenant, it will prompt you to set up an MFA method of your choice
The next screen will prompt you to accept the permissions for the global admin account to be created. You can scroll down and click “Accept”. At this point, the backup admin account will be created within the tenant
Once the account is created, you will be provided with the email address and password for the account. Take note of these for the next step.
Click on "Sign in with Microsoft 365" under step 2. When prompted, sign in with the backup admin account that was just created. You will likely be prompted to set up 2FA for this account as well.
Accept the permissions requested on the next screen.
During this last step, you will have the ability to set Autodiscover settings for SharePoint. Leaving this enabled will detect and add all SharePoint sites. If you don't want to back up SharePoint or only want to back up specific sites, you can disable Autodiscover and manually select which sites to add.
Under step 3, sign in one more time with the newly created backup admin account and accept the permissions one final time. This will complete the setup of the tenant and direct you to the page where you can add users from that tenant to your backups.

Adding users to Backup

The Add Users page will be displayed automatically after setting up the tenant using the above steps. It can also be accessed using the "Add From Existing" option when clicking on "+ Add Backup" from the dashboard.
When first accessing the page, it will auto-populate with all the mailboxes that we detect existing within the tenant.
Use the Select All option or select the individual users that you want to add and an "Add to Backup" option will appear at the bottom of the screen. Note that you will also see an "Exclude" option for cases when you want to exclude the selected users from backups specifically
From this page, you can also enable Autodiscover and/or AD Sync.
Autodiscover will automatically detect and add new users, provided you have sufficient seats available in the organization. When used in conjunction with Autolicensing (set in the Organization Settings within the Partner Portal), you can automatically adjust licenses to add new users without requiring manual action.
Ad sync will update things like name changes as they are detected within Active Directory.

Adding SharePoint Sites to Backup

By default, Autodiscover will be enabled for SharePoint sites. However, if this was disabled during the initial setup or if it was disabled later, you can still manually add desired SharePoint sites to backups

The Add Users page will be displayed automatically after setting up the tenant using the above steps. You can switch to the Sites view by clicking Sites at the top of the page next to the “Accounts” button. It can also be accessed using the "Add From Existing" option when clicking on "+ Add Backup" from the dashboard.
When first accessing the page, it will automatically populate with all the sites that we detect as existing within the tenant.
Use the Select All option or select the individual sites that you want to ad,d and an "Add to Backup" option will appear at the bottom of the screen. Note that you will also see an "Exclude" option for cases when you want to exclude the selected SharePoint sites from backup specifically.
From this page, you can also re-enable Autodiscover.
Enabling this feature allows for the automatic discovery and backup of all available sites. To enable or disable AutoDiscover for SharePoint, navigate to the Add Backup page and then select the Sites tab. You can find the AutoDiscover option under Site Information on the right panel.

Google Workspace Backup

Authentication

Log in to the backup dashboard through the Winhost Control Panel by clicking the "Backup" link and then EmailBackup.
After logging into the dashboard, click Add Backup
- Use Google Workspace Admin credentials
Select the Sign in with Google Workspace button from the dashboard page
Select the Google Sign Out button. This will log you out of all active Google Workspace sessions in your browser. Please ensure that cookies are enabled for the browser; if they are not, you will need to retry and sign in again.
Sign in to your Google Workspace account using your global admin credentials from your Google Workspace subscription.
If this is successful, you will then need to install the Dropsuite application on your Google Workspace Marketplace

Click on Integrate with Google
Click Continue
Select the I agree to the application's Terms of Service, Privacy Policy, and G Suite Marketplace Terms of Service.
Once this has been completed, you can close the window and navigate back to the "Add Backup" page in Dropsuite.

Why is an admin user required?

An admin user is required to start getting the tenant data. More specifically, the admin user access is needed to back up the following products:

Shared Drive
Google Group

In addition to those products, the backup for Email, G Drive, Calendar, Contacts, and Tasks is performed via impersonation.

Note: This means that if looking at logs within the tenant, you will see the Admin account shown as downloading the files from these sources

Add all users automatically by using Auto-discover

If this option is selected, all users are automatically added to the backup. If additional users are added to the Google Workspace tenant in the future, they will be added to the backup if sufficient licenses are available.

You can add users to the exclusion list if you don't want them to be included in the Auto-discover process by enabling Auto-discover and adding the mailboxes to the "Select Excluded Account" dropdown.

Add Manually

To add mailboxes to the backup manually, wait for the list to populate, and click the empty box next to the user email. If the user shows "available," it can be added to the backup. You can also click the three dots next to "available" and add the mailbox to the exclusion list.

Journal Configuration (for archive subscription only)

Configure Archive for All Users - Setup Sending and Receiving Routing Settings

Sign in to the Google Workspace Admin console by using an administrator account (https://admin.google.com)
On the Main Menu, click Apps > Google Workspace > Gmail
Click Routing
Select an organization. This is optional only if there are multiple organizations or units
Next to the Routing settings, add a new rule by clicking Add Another Rule. If this is your first time setting up a Routing rule, you can click Configure.
Enter a short description for the journaling setup
Tick all four checkboxes in the Email Messages to Affect's section
Check, Add more recipients in the Also deliver to's setting, and click Add
Select Advanced and on the Envelope Recipient's section, check Change Envelope Recipient > Replace recipient and input an email address that is retrieved by contacting your reseller or by clicking the arrow beside your name and selecting Journal ID
Check: Do not deliver spam to this recipient if you do not want to capture spam emails
Check Suppress bounces from this recipient
Check Add custom headers, click Add, and input DME-JOURNAL-REPORT as key and true as value. Click Save.

Configure Selective Archiving (set of selected users)

The difference between this step and the previous one lies with the user. Since this is using Google Groups, a Google Group must be created with the selected users for archiving purposes first. Then, set up sending and receiving routing rules separately by specifying this group in the filter section. It’s not compulsory to add all the users to the group by the time of its creation. Users of the group can be updated at any time according to their requirements.

Create a Google Workspace Group

Sign in to the Google Admin console at https://admin.google.com
Choose Groups from the Admin dashboard
Click Create Group
Enter a name and group email address of your choosing, fill out other fields as required, and click NEXT
By default, Mailing is ticked as the label of the new group. However, if you want to have more control and access to sensitive information, you can tick the Security label (note: once ticked, you won't be able to untick)
Configure the settings as required or keep defaults and click the CREATE GROUP button
Click Done

Add Members to the Google Workspace Group

Choose Groups from the Admin dashboard
Select the group you've created
Click Add Members
Type a username or group
Click ADD TO GROUP

Set up Receiving Routing Settings

Sign in to the Google Admin console at https://admin.google.com
On the main menu, click Apps > Google Workspace > Gmail
Click Routing
(Optional) Select the Organizational Unit (OU) to filter routing based on OU
Next to the Routing settings, add a new rule by clicking Add Another Rule. If this is your first time setting up a Routing rule, you can click Configure.
Under Email Messages to Affect, select Inbound and Internal - receiving
Click Show options > Envelope filters
Check Only affect specific envelope recipients and selects Group Membership (only received email)
Click Select Groups, and a pop-up will appear
Choose the group(s) that will receive the message
Check, Add more recipients in the Also deliver to's setting and click Add
Select Advanced and on the Envelope Recipient's section, check Change Envelope Recipient > Replace recipient and input an email address that is retrieved by contacting your reseller or by clicking the arrow beside your name and selecting Journal ID
Check Do not deliver spam to this recipient if you do not want to capture spam emails
Check Suppress bounces from this recipient
Check Add custom headers, click Add and input DME-JOURNAL-REPORT as key and true as value. Click Save.
Close the pop-up
Click Save

Setup Sending Routing Settings

Sign in to the Google Admin console at https://admin.google.com
On the main menu, click Apps > Google Workspace > Gmail
Click Routing
(Optional) Select an Organizational Unit (OU) to filter routing based on the OU
Next to the Routing settings, add a new rule by clicking Add Another Rule. If this is your first time setting up a Routing rule, you can click Configure.
Under Email Messages to Affect, select Outbound and Internal - sending
Click Show options > Envelope Filters
Check Only affect specific envelope recipients and select Group Membership (only sent mail)
Click Select Groups and a popup will appear
Choose the group(s) that will receive the message
Check Add more recipients in the Also deliver to's setting and click Add

How to Set Up .Net and HTTP Errors on Winhost

When setting up custom errors on Winhost it is important that you set up both .Net errors as well as HTTP errors. Failing to do so can lead to a custom error appearing for .aspx files, but not html or php files or vice versa.

Using IIS Manager:

For this method you will need IIS manager and need it connected to your site. If you do not follow theses instructions: https://support.winhost.com/kb/a628/using-the-microsoft-iis-manager.aspx

1) Once connected to IIS manager for your site double click on either .Net Error Pages or Error Pages

.Net Error Pages:

1) Click on Add on the right hand side.

2) Under the Status Code enter which status code you want to redirect.

3) Under Absolute URL will be the name of the custom error file you have on the server. For example 404.aspx.

4) Click OK

5) Then click on the new error page entry and then on the right side click Edit Feature Settings.

6) You'll want to change Mode to "On" and under default page put the default custom error page you would like.

IIS Error Pages:

1) You will see that the status codes have default error pages already set. Click on the status code you want to have custom and click edit on the right.

2) On the pop-up screen click on the bubble for "Execute a URL on this site" and enter the name of your custom error file. For example /404.aspx or /404.html

3) Click OK

4) Then click on that same error code and on the right, click on "Edit Feature Settings"

5) Under "Error Responses" you'll want to click "Custom error pages" and you can set a default path if you wish.

Adding Custom Errors through the web.config:

For ASP.Net errors you'll want to enter the following code into your web.config file:

In both cases you will need to replace "ERROR_FILE_NAME" with the actual file name of your custom error. Also you will have to adjust the status code depending on which error code you want to catch.
